Bookkeeper Role
Under the general supervision of the bookkeeper, the assistant bookkeeper is responsible for assisting the bookkeeper in the following tasks: maintaining a complete set of records for all financial transactions; balancing books; preparing trail balances; maintaining checking and bank accounts; and preparing statistical and tax records.
Responsibilities
- To assist the bookkeeper in the following:
- Keeping a complete set of financial records including cash receipts, cash disbursements, general ledger, subsidiary ledger, and general journal.
- Balancing books and compiling statistical reports
- Preparing monthly bank reconciliation and trial balances
- Calculation payroll, preparing paychecks and other pertinent records
- Preparing calculations for payroll taxes
- Preparing and submitting monthly invoices and bi-monthly reports
- Maintaining petty cash and contribution records and funds
A qualified bookkeeper for a not for profit organization should have: Education & Experience
- A Bachelors degree in Accounting, Bookkeeping, or a related field
- At least two years of accounting or bookkeeping experience, preferably within a nonprofit environment.
Core Skills & Knowledge
- Strong ability to maintain complete and accurate financial records, including:
- Cash receipts and disbursements
- General and subsidiary ledgers
- General journals
- Proficiency in balancing books, preparing trial balances, and generating statistical reports.
- Experience with bank reconciliation, payroll calculations, preparing paychecks, and maintaining payroll tax records.
- Ability to prepare monthly invoices and bi monthly financial reports.
- Competence in managing petty cash, contribution records, and designated funds-important in nonprofit financial accountability.

- Must be alert, pleasant, discreet, and professional in behavior and appearance.
- Should be flexible and willing to perform various bookkeeping functions as needed within a nonprofit structure.
